2026 Annual Conference

Delegate Terms and Conditions

The 2026 Annual Conference is a Members Only event and available for registration for SCA (WA) Corporate Strata Manager Members only.  

Registrations for the 2026 Annual Conference and Awards Gala close COB Thursday 1 October 2026. 

Payment of your registration fees must be paid prior to the event.

Note: All conference attendance is not confirmed until payment is received for your registration.

Registration 

Only the person named on the conference registration and badge is permitted to attend. A Full Delegate Registration cannot be shared or split between multiple attendees for the conference or its social events. 

 

Cancellation Policy and Transfers  

Cancellations received before 1 August 2026, are fully refundable (excluding credit card charges). 

Cancellations received between 2 August and  1 October 2026 will incur a 50% cancellation fee. 

No refunds will be issued for cancellations received after 2 October 2026

Only delegate registration fees are refundable; credit card charges are non-refundable.  

Cancellations are only applicable in exceptional cases and at the discretion of the SCA (WA) Office. All cancellations or transfers must be received in writing to SCA (WA) via email to events.wa@strata.community.​​  

  

Transfer of registrations will be accepted until  8 October 2026.   

Awards Gala Registrations 

Discounted pricing is only applicable for full table (10 seats) bookings. All other registrations are to be at the advertised individual ticket price. 

Name Badges 

Your name badge is your passport to access all events and meals included in your registration. Please ensure your badge is visible at all times and worn only by the correct person.

 

We can’t guarantee a professional badge will be printed if the delegate transfer is not received by 8 October 2026

 

Dietary Requirements 

Dietary Requirements must be provided by 1 October 2026. Although SCA (WA) will make every effort to accommodate late additions due to varying venue terms and conditions, we cannot guarantee that any dietary requirements received after this date can be accommodated.  

 

Code of Conduct 

SCA (WA) continually seeks to provide a conference environment of mutual respect in which participants may learn, network, and enjoy the company of their peers. We recognise a shared responsibility to create that environment for the benefit of all. 
 
Delegates are expected to observe the 
Event Etiquette and Standards of Behaviour Policy in all conference venues and conference social events. 
 
Security throughout the event will exercise discretion in permitting entry based on adherence to the designated dress code and sobriety standards. Individuals who are deemed to be intoxicated or not in compliance with the dress code may be denied entry at the discretion of security and the venues. 
 

Program Disclaimer 
SCA (WA) reserves the right to alter, amend, vary or otherwise change the program at any time as circumstances dictate without further notice to registered delegates. Every effort will be made to provide a program of equivalent standard and value. 
 

Policy on “Suitcasing” and “Outboarding” 
In order to protect our valued exhibitors and conference sponsors, and the investments they have made in sponsoring the CHU SCA (WA) 2025 Annual & Owner Conference, we are enforcing a strict “suitcasing” and “outboarding” policy. 
 

Suitcasing 
Suitcasing will not be tolerated at all. 
 
Any Strata Service attendee who is not exhibiting or sponsoring an aspect of the conference is NOT permitted to openly market products/services during the conference. 
 
Delegates, who are not official exhibitors or sponsors of the conference MAY: 

  • Converse and network with other delegates and 

  • Hand out business cards. 

  

Delegates, who are not official exhibitors or sponsors of the conference MAY NOT: 

  • Hand out any form of marketing material for products/services of their organisation; 

  • Attempting to sell or market services or products verbally; 

  • Make appointments to meet with delegates during the conference period, conduct meetings and product demonstrations; 

  • Wear branded clothing in any way with identifying organisation logos or text during the conference or its functions. (This applies only to service providers and not strata managers) and 

  • Send unsolicited emails to attendees or exhibitors prior to and during the conference promoting your products and services, offering meetings, and/or promotions during the conference. 

 

Breaking these terms may mean ejection from the conference, a fine equal to the cost of a conference sponsorship and/or the penalty of suspension from the next event and potential loss of membership. 

 

Unofficial Events “Outboarding” 

SCA (WA) will not permit any organisation whether a sponsor/exhibitor or not of the conference, to host any event, any kind of invitation only or private event within the conference date (15 and 16 October 2026) that has not been booked and advertised through SCA (WA). Breaking these conditions carries the penalty of suspension from the following year’s conference and potential loss of membership.

Force Majeure  

Where there is an agreement between SCA (WA) and a Sponsor or registrant, it is automatically null and void if any events offered are cancelled due to an act of God including, but not limited to, hurricane, earthquake, flood, volcanic eruption, tornado, famine, terrorism, war, or pandemic. In the event of cancellation due to an act of God neither party shall be liable for any further payments.

Accommodation 

​Terms and conditions apply to all hotel offers. Please review the specific terms for your selected hotel before completing your booking. If you are a member of any hotel loyalty programs, we recommend checking and comparing rates through those channels. 

 

A limited number of rooms have been secured for SCA (WA) at the Pan Pacific; however, availability is not guaranteed. 

 

SCA (WA) takes no responsibility for direct bookings made by delegates using the accommodation link at the Pan Pacific. All accommodation inquiries must be directed to the hotel. 

 

SCA (WA) is not responsible for any accommodation cancellations or refunds. Delegates must contact the hotel directly and refer to the terms and conditions agreed upon at the time of booking. 

 

Venue 

​SCA (WA) and the venue are not responsible for any lost, stolen, or damaged personal belongings. Delegates are advised to keep their valuables secure at all times. 

Exhibitor/Sponsor Terms and Conditions

In addition to the above terms and Conditions the following also applies to all those exhibiting and sponsorsing an aspect of the conference. 

General Obligations 

The sponsor must: 

  1. Non-member service providers are permitted to exhibit at the SCA (WA) 2026 Annual Conference, subject to the following conditions: 

    • No presentation or “in-the-room” sponsorship inclusions will be available to non-members.  

    • Must pay the non-member rate advertised for sponsorship / exhibiting and payment to be received prior to the commencement of the event. 

    • All exhibitors to meet appropriate relevance and conduct criteria. 

    • Non-member exhibitor will have last booth preference allocations. 

    • Non-Members will submit an expression of interest to participate, this will Members and Sponsors would have until one month prior to the event to commit to an exhibition booth, whereby if they do exhibit, then no competing non member would be able to purchase an exhibition space (Competing members are not included in this).   

  2. Provide (at its’ cost) and set up all branding and marketing material for their allocated Exhibition Stand. Additional items including furniture are at the exhibitor's expense. For additional items to hire, the contracted trade stand builder details will be given to you upon confirming your sponsorship. 

  3. Sponsorship or Exhibiting does not include accommodation or airfares 

  4. Any variations required to the exhibition floor plan will be at the discretion of SCA (WA); it is subject to change at any time. 

  5. Ensure that it has a sponsorship liaison person available to SCA (WA) at all reasonable times leading up to the Event, for the duration of the Event and after the Event until any resulting matters are finalised. 

    1. Provide SCA (WA) with the sponsor’s logo upon request; 

    2. In a form suitable to be applied to all promotional and publicity material relevant to the sponsorship set out in this Agreement; and 

  6. In accordance with SCA (WA)’s timetable for production of the relevant promotional material and banners. 

  7. Carry out its obligations and activities in a manner that enhances the reputation of SCA (WA) and the event in general. 

 

​Payment 

The Sponsor must pay all amounts owing to SCA (WA), including any applicable taxes, in full and without setoff, within 14 days of receiving a valid tax invoice. 

SCA (WA) Membership

Your membership may be cancelled should you breach the SCA Ltd Code of Ethics and good business practice within the strata industry. There will be no refund if your membership is cancelled by SCA (WA) or the Company cancels during the calendar year. SCA (WA) reserves the right to cancel membership should sponsorship payments not be received upon the third reminder.

 

Insurance Disclaimer  

Please email the front cover of your Public Liability Policy to communications.wa@strata.community.

 

SCA (WA) must have evidence of your public liability before we can allow you to set up your booth. 

 

Dates required to be covered by your public liability are: 

  • Thursday 15 October 2026 

  • Friday 16 October 2026 

 

SCA (WA) cannot take any responsibility for any sponsors failing to arrange their own insurance. SCA (WA) does not provide insurance coverage for any accidental injuries, loss or damage to Exhibitors/Sponsors at the Conference. ​

 

Venue 

​SCA (WA) and the venue are not responsible for any lost, stolen, or damaged personal belongings. Delegates are advised to keep their valuables secure at all times.
